A School Secretary aids the middle school principal with office records and communication tasks. Helps the principal run a school site smoothly. Assists the principal in leading the school community to promote student success via red carpet service, constant process improvement, being polite and considerate with all stakeholders, and effective administration of operations and resources in a safe and orderly environment.

Qualifications:

  • Supporting, directing, leading, training, and organizing the work of school clerical workers has the purpose of assisting with administrative obligations.
  • Helps handle school office operations. Supervises enrollment, withdrawals, student records, absences, substitute teacher assignments, staff activities, receptionist, and phones. Makes reports for regulators and students.
  • Keeps administrative and master calendars for school workers and outside organizations. Manages leases. Maintains new, existing, and employee transfer and termination records.
  • Keeps track of all funds collected, receipted, deposited, and dispersed for student activities, tax credits, and auxiliary accounts. Requisitions and expenditures are processed and tracked. Maintains office and employee supplies. Gifts and contributions are recorded. Insurance/theft reports are prepared and submitted.
  • Responds to questions from students, parents, and employees by giving them information, helping them talk to each other, or giving them instructions.
  • Trains and/or recommends. Coordinates, schedules, prioritizes, and assigns projects. Performance measurements, goals, objectives, and priorities are set. Assesses performance. Feedback, direction, advice. Notifies staff of new or changed information.
  • Assists in the planning and scheduling of school events and activities, as well as the maintenance of a calendar of school and student events, for the aim of organizing and arranging events such as orientation, open house, field excursions, athletic events, assemblies, conferences, and so on.
  • Compiles papers (e.g., notifications, correspondence, bulletins, reports, newsletters, handbooks) for principal or other school officials to request or provide information about school and work-related concerns, activities, events, etc.
  • Provides information to the public on school rules and procedures, answers the telephone or serves as the school receptionist, directs visitors and calls, and secures and distributes information as necessary.
  • Be ethical and professional with everyone in the workplace. Serve as a role model for kids and employees by displaying a pleasant attitude, good work ethic, and proper wardrobe.

Skills:

  • Communication and relationship-building skills, including the ability to build and maintain positive working relationships with a wide range of people within the school system.
  • Any mixture of experience and/or education that provides similar knowledge, skills, and abilities.
  • An associate’s degree in business, mathematics, word processing, office procedures, or record keeping is preferred but not needed. A high school diploma or GED is required.
  • An thorough background check and drug test are required. Computer and typing abilities are required. It is essential that they be able to work well with others, both within and outside of the classroom.
  • A diverse group of people may work together successfully provided they can create and maintain solid working connections.
