The Accounts Payable Specialist will be in charge of handling every phase of the accounts payable processing cycle, including opening, date-stamping, and distributing accounts payable mail as well as processing invoices, expense reimbursements, corporate cards, purchase requisitions, and employee and vendor inquiries. The employee will also be in charge of managing all vendor, transfer record, and employee reimbursement files as well as the procedure for refunding student and transfer record check payments.

Qualifications:

• Provides payment and coding assistance to suppliers and staff members through phone and email.
• Reach weekly and monthly deadlines for the department by completing tasks as necessary.
• All month-end AP and AR inquiries and processing (some additional hours may be necessary).
• Before payment, invoices and check requests are checked, matched, and categorized to assure proper approval.
• Working in partnership with other departments to achieve daily, monthly, quarterly, and yearly goals.
• Examine vendor accounts when money is short and negotiate longer terms with suppliers.
• Invoices, expenditure reimbursement requests, and check requests are collected and processed.
• All accounts payable reports should be printed, and all accounts payable files should be kept.
• Examine the expenditure reports and credit cards to check for correct coding and to make sure they comply with the policies of the organization.
• All bills for accounts payable that need to be paid should be entered into the system.

Skills:

• Must be able to prioritize, organize, and complete tasks often under stringent time constraints.
• Proven aptitude for calculating, entering, and managing accounting data and financial records.
• A thorough understanding of accounts payable and basic bookkeeping procedures.
• In a fast-paced and high volume setting, the ability to operate independently and as part of a team is essential.
• The ability to use pivot tables and vlookups in Microsoft Excel is preferred but not needed.
