Job Description

The Front Desk Receptionist is responsible for answering and directing incoming calls, greeting and directing patients and visitors, fielding queries, and completing assigned clerical, data entry, file maintenance, and word processing tasks. Prior to patient visits, makes sure all information required by clinic protocol has been gathered and entered into patient’s file. Keeps a supply of dental supplies on hand. Takes donations, hands out dental supplies. Consults with and schedules several doctors to provide seamless care. Creates and sustains an upbeat reception area.

Qualifications:

  • keeps the lobby and other office areas secure and tidy (copy room, kitchen, conference).
  • Specialized services of a routine clerical kind may be performed, but only in accordance with specified procedure standards and only when absolutely essential for the role.
  • Get everyone some refreshments and show them where the restrooms are.
  • Makes copies and/or duplicates of documents as required; may also create and email facsimiles to clinic staff.
  • Responsible for greeting and directing visitors and patients, taking messages, answering basic questions, and routing calls.
  • Supports continuity of the office by documenting and communicating actions, irregularities, and continuing needs.
  • generates, modifies, or handles documents such as files or records.
  • Clinic personnel receive mail and process incoming communications.
  • Carries out a wide range of clerical duties consistent with the nature of the profession, including the use of a computer for tasks such as word processing, data entry, and the production of printed products including letters, labels, and reports.
  • Incoming calls must be answered, filtered, and transferred to the appropriate personnel without delay.

Skills:

  • Ability to prepare and print routine correspondence, labels, and/or other basic written material.
  • Experience working in a medical or dental clinic for at least six months is preferred.
  • It is essential to be able to use healthcare and pharmaceutical software on a computer.
  • articulate oneself eloquently in speech and writing (or electronically).
  • Minimum of three years’ experience in office administration, secretarial work, or a related field is necessary.
