Job Description

The Office Assistant is responsible for a wide variety of administrative tasks, including but not limited to: scheduling meetings and appointments; answering and directing phone calls; greeting clients, vendors, and other visitors; handling faxes and mail; photocopying; maintaining and ordering office supplies; preparing correspondence, spreadsheets, invoices, and tracking reports and files; and more. In addition, you’ll be responsible for handling all requests for facility/office work, as well as any special projects, mail/package shipping/receiving, Interoffice/Program distributions/communications, and copier/fax machine maintenance.

  • As assigned by the department manager or supervisor.
  • Provides administrative assistance to the property management by handling tasks such as rent collection, answering phones, and mailing out correspondence.
  • Assist different sections in fixing technical problems.
  • Directly assist management with various administrative responsibilities.
  • Maintain up-to-date website knowledge to better assist customers over the phone with their inquiries.
  • works with technical, statistical, or financial data to produce reports that demand discretion in both data selection and presentation (format).
  • Maintain an accurate stock of office supplies and equipment, and restock as required.
  • Multiple phone lines are handled and routed, and callers are directed to the proper department.
  • Schedule meetings and appointments on a regular basis while also managing intricate travel arrangements.
  • Maintain a high standard of phone expertise for both internal and external clients.


  • Able to utilize Microsoft Office and other common software with ease and proficiency.
  • Bachelor’s degree necessary, as well as at least 2-3 years of relevant experience in an administrative position.
  • Capacity to convey ideas clearly and simply through a variety of approaches appropriate to the intended audience.
  • A command of standard English use, spelling, syntax, punctuation, and sentence structure is essential for generating and reviewing written documents that are complete, concise, and presented correctly.
  • Competence to perform satisfactorily in a group setting.
