Job Description

Overseeing daily office operations and ensuring that all systems and equipment run smoothly and efficiently is a primary responsibility of a Budget Manager who works closely with a Director of Administration Operations. The Budget Manager is in charge of acquiring and maintaining office and equipment, as well as improving procedures and training personnel on AV, phone systems, and other office equipment, such as computers. Help desk for all office equipment and systems, as well as software troubleshooting and training, in close collaboration with IT personnel. Job duties include: Coordination of budget input and reporting for the Administration department is another responsibility of this position. This person is responsible for overseeing Merrill Center Receptionist and ensuring that the state and regional office managers have the proper resources in order to run their respective offices smoothly. All office supplies and equipment will be consistent and efficient thanks to this position’s oversight.

Qualifications:

  • On all financial matters affecting the department, operate as a liaison between the department and the VP&S Office of Budget. Assist the Departmental Administrator with the narrative portion of the budget.
  • Completing tasks not specifically included in the job description, but which fall within a broad occupational category and correspond to a responsibility level often associated with the employee’s line of work.
  • For either a short- or long-term assignment, the incumbent must integrate into a department’s operational team and establish rapport, as well as establish analytical criteria to assess performance consistently and efficiently. It is critical to be able to establish and adhere to deadlines.
  • Support the assigned divisions’ operational and financial needs, as well as grant processing, by collaborating with the Office of Management and Budget (OMB) and the Office of Finance (OF).
  • Manages the City’s operational, performance, CIP, and other budgets; oversees the yearly budget creation and review procedures; creates and maintains budget development standards, rules, and calendars; and publishes the final authorized City budget.
  • Accurately respond to enquiries from both internal and external sources on allocated program areas, collaborating with stakeholders as needed to achieve timely responses.
  • Financial data and trends are analyzed and projected for future resource availability, and remedial measures are recommended.
  • Customers and workers are routinely involved in the decision-making process for concerns ranging from the allocation of resources to the quality of the services they get.
  • According on this person’s analysis of data from multiple departments, they then recommend how much money each department should be allocated for their respective projects.
  • Analyzes trends and forecasts financial situation; creates short and long-term income and spending predictions, as well as multiyear forecast models; compares revenue and expenditure patterns to budget and projections, identifies revenue control issues, and recommends budget changes.

  • Budget and grant administration expertise is essential for consideration for this job, which requires at least four (4) years of management experience.

  • Strong aptitude for and experience in working with large datasets and using integrated software solutions and business intelligence tools.
  • Knowledge of public sector financial and budget management theories, concepts, and best practices, including budgeting at the project level, resource allocation, and yearly financial reporting, in a big organization.
