The Senior Administrative Assistant answers phones, greets customers, and does administrative tasks. This person will prepare, evaluate, proof, brand, format, foot and tie client deliverables for Assurance and Consulting engagements.

Qualifications:

  • The use of electronic means of communication, such as email and mailing lists. Organize official correspondence, such as emails and bulletins. Bulletin boards and campus marketing campaigns. Make sure you’re up to date on social networking. Keeps department and program websites up to date.
  • The Physical Plant Supervisor Specialist uses this information to keep track of personnel coverage in the department and reroutes work orders accordingly.
  • Response to all scheduling requests, prioritizing most critical and sensitive topics, interacting with everyone involved, and ensuring that meetings are set up for success are all part of a fast-paced workplace with many competing priorities.
  • Backs up the Admin Support Supervisor with daily casework, monthly reports, office supplies, postage metering, merchant card reconciliation, invoicing and accounts receivables, and database administration, among other things.

  • Assist in the processing of student and part-time work papers, as well as professional service agreements. Submit travel reimbursements and disbursement requests on time. Budgets for administrative units, restricted accounts, and award/scholarship funds should all be kept track of. Payment orders and invoices should be submitted.
  • Help present and future students locate campus resources and advisors. For fundamental student counseling, such as checklists and program criteria, get familiar with program structures and standards. Graduation papers, both major and minor, are processed in this department.
  • Respond to in-person and telephone enquiries about the department, its programs, and activities. Offer fast and effective support to guests. Maintain department supplies and ensure appropriate supplies are available as required. Manage the department’s, programs’, and program faculty’s mail and mailboxes. Maintain all office files to guarantee precise record keeping. To ensure that the office is completely working, you must submit and handle all maintenance and repair requests. Supervise work-study and student assistants to ensure competent job completion and main office coverage.
  • The department director’s schedule and travel arrangements are within the purview of this position, which also coordinates departmental meeting schedules.
  • Following up with persons who inquire about the status or completion of work orders they’ve submitted, in addition to the timelyness of such jobs. Work order completion and productivity issues should be reported to your Physical Plant Supervisor Specialist so that they may be further investigated.

Skills:

  • Ability to administer the department office responsibly, create and keep papers accurately, and work independently to address administrative unit difficulties.
  • To be eligible for consideration for this job, you must have a minimum of three years of experience working with software from the Microsoft Office Suite (Outlook, Word, Excel, and PowerPoint). It’s all about the technical specifications. It is beneficial to have a working knowledge of Microsoft Teams.
  • Administrative support experience, an associate’s degree from an authorized college, or similar training and experience are all acceptable educational backgrounds.
  • Having a degree is required. Education and experience beyond high school are required. Extensive experience in the insurance business (at least 3 years as an executive assistant) and a bachelor’s degree preferred.
  • Ability to feel comfortable talking to and working with a wide range of administrators, staff, and faculty from across the campus, Excellent attention to detail, written and verbal communication skills, and the ability to do more than one thing at a time are needed.
