The Receptionist is in charge of welcoming members and visitors, taking reservations, routing calls, addressing questions about member accounts, and generally delivering great service to members. various administrative duties and, when necessary, offers support to other team members.

  • They are accountable for handling any requests made through the CMMS, as well as all necessary follow-ups and backup training.
  • Greet participants in research studies, visitors, personnel, and messenger services. Identify the visit’s nature and purpose before directing or escorting guests to their desired locations.
  • Take part in the staff meeting for the Office of Operations, Finance, and Performance Management, as well as any other meetings you may be asked to attend.
  • Tasks include invoicing, data entry, word processing, generating new case files, and composing letters.
  • Maintain office and file cabinet keys as well as sign out ledgers for various office equipment.
  • Performing additional administrative tasks including filing, copying, collating, faxing, etc.
  • Maintain a centralized database and ensure that it is updated regularly with information on new hires, employee attendance, and yearly compliance drills.
  • Use a multi-line phone system to screen and forward calls, answer questions, give information, and take messages.
  • Visitors and employees should be asked to sign out and in so that attendance can be accurately recorded. See to it that everyone’s whereabouts are tracked.
  • In addition to taking and forwarding calls, you’ll also be expected to field simple inquiries and provide some background info when asked.


  • Paying close attention to detail is essential to ensuring that any issues reported to the front desk are properly documented and addressed in a timely manner.
  • Skills in Microsoft Word, Excel, Access, and PowerPoint are considered bare minimums in the IT industry. One more is using the web for research.
