As a member of the healthcare team, the Medical Secretary helps with a variety of administrative responsibilities in order to keep things running smoothly for patients and staff.

Qualifications:

  • Gather signatures on documentation, such as benefit assignment and privacy notice forms, while greeting patients and providing instructions and answers to their inquiries in a kind and helpful manner.
  • To ensure accurate reimbursement and statistical analysis, it is necessary to gather crucial data via face-to-face registration.
  • Collaborates with clinical and support personnel about changes and updates to patient schedules, and aids the Director in managing clinical staff schedules.
  • Answers all incoming calls and directs them to the proper individual. Takes messages for providers and other office employees in a concise manner. Manages normal information requests. Ensures that all critical communications are prioritized according to procedure.
  • The Medical Secretary is responsible for checking patients in and out utilizing EMR systems, validating demographic information, updating patient profiles, and collecting co-payments or outstanding amounts. Appointment scheduling for follow-up and/or specialized visits.
  • Collects physician practice authorizations and enters relevant information into both the registration and billing systems. Patients are instructed to seek referrals as required.
  • Patients’ appointments are scheduled and they are registered, and the patient’s insurance authorizations and/or worker’s compensation benefits are discussed with the patient.
  • Physician administrative assistant. Letters, forms, and other papers are prepared. Inputs data into computer. Transcribes secret dictation
  • To assist and support patients, their families, and the larger community, excellent customer service and phone etiquette, as well as proper handoff to the appropriate team members, are required.
  • Having the capacity to apply a comprehensive understanding of clinical treatment and education to a wide range of health and disease issues is shown by this talent.

Skills:

  • This position requires that the applicant have a minimum of two years of previous work experience in a medical office setting, preferably as a medical secretary or receptionist, engaging with patients, the general public, and/or physicians.
  • Having the ability to read and analyze paperwork, such as patient records and insurance applications, is essential. Strong computer abilities, excellent customer service skills, and excellent communication skills both verbally and in writing are all required.
  • A high school diploma or its equivalent. It is preferred that you pursue more education or training in business administration, healthcare administration, or a similar field.
  • It is required to have a functional knowledge of office equipment such as the telephone, computer, keyboard, copy machine, fax machine, printer, and credit card machine.
  • Work with patients, families, colleagues, physicians, and auxiliary department employees. Good typing and Word/Excel skills.
