Job Description

Operations Administrator responsibilities will shift from day to day. This person will work under the direction of the Vice President of Portfolio Operations and Strategy and provide assistance to the Chief Portfolio Engineers. You’ll be responsible for acting as the team’s central point of contact, keeping tabs on activities across the division, overseeing finances, and organizing paperwork. The ideal candidate will be able to handle multiple tasks at once and has strong organizational and interpersonal abilities. In order to lighten the administrative load of the engineering leadership team, this highly visible function entails working with and communicating with internal teams, residents, and outside consultants. The Operations Administrator plays a crucial role in making certain that all of our initiatives and projects are accomplished on schedule, within budget, and to our exacting standards of excellence.

Qualifications:

  • Assist in documenting the warranty and model information for new equipment, from small tools to major mechanicals.
  • Collaborate with onsite teams to develop an appropriate training curriculum and ensure that it is properly implemented.
  • Learn about the software requirements and onsite team roadblocks associated with cutting-edge innovation.
  • On-site annual elevator and/or fire testing and inspections are kept track of, scheduled, and helped with.
  • help with keeping up with broker commitments, paperwork, and insurance needs.
  • Help with quarterly audits and inspections by keeping a journal of your preventative maintenance actions.
  • Help keep tabs on and assess the value of typical R&M costs. It’s important to keep tabs on project expenses, verify submitted invoices, and pay suppliers in a timely manner.
  • Assist with project scheduling and serve as a hub for communication on all project timelines and activity.
  • an analysis of the effectiveness of all maintenance regulations.
  • Pull weekly/monthly reporting metrics and aid in evaluating property-level inefficiencies.

Skills:

  • Competence in Excel is exceptional. Proficient in all Microsoft Office suite programs, with the aptitude to pick up more modules and keep up with technological developments.
  • Proficient use of office equipment and information systems, such as databases, the Internet, email, word processors, spreadsheet programs, and video conferences.
  • 5+ years of productive administrative experience in a time-constrained, project-focused setting.
  • You must have prior experience in vendor management, preferably using Nexus or an equivalent platform.
  • Excellent organizational abilities, including the ability to multitask and manage time.
