Job Description

The Office Assistant is responsible for a wide variety of administrative tasks, including but not limited to: scheduling meetings and appointments; answering and directing phone calls; greeting clients, vendors, and other visitors; handling faxes and mail; photocopying; maintaining and ordering office supplies; preparing correspondence, spreadsheets, invoices, and tracking reports and files; and more. In addition, you’ll be responsible for handling all requests for facility/office work, as well as any special projects, mail/package shipping/receiving, Interoffice/Program distributions/communications, and copier/fax machine maintenance.

  • Support other departments with tech support and troubleshooting needs.
  • Performs periodic work in which judgment is required in the compilation and generation of technical, statistical, or financial reports (format).
  • Keep up-to-date on the website in order to answer any questions customers may have.
  • Maintain an accurate stock of office goods and equipment, and restock as required.
  • Helps the Property Manager with administrative tasks such taking rent payments, answering phones, and delivering notices and letters.
  • Extra tasks as asked by the department manager or supervisor.
  • Provide hands-on support to management by completing a range of administrative tasks.
  • Numerous phone lines are answered, routed, and called parties are directed to the proper department.
  • Maintain a regular schedule of engagements and meetings, and prepare for complex travel itineraries, as needed.
  • Maintain a businesslike demeanor when speaking on the phone with internal and external customers.


  • capable of using Microsoft Office and other common computer programs.
  • the flexibility to adapt one’s approach based on who one is speaking to, as well as the skill to convey complex ideas in a straightforward manner.
  • Requirements include a bachelor’s degree and two to three years of experience in an administrative role.
  • the ability to make a good impact as a member of a team.
  • Ability to use standard English conventions such as capitalization, spelling, grammar, punctuation, and sentence structure to ensure that all written materials are accurate, concise, and structured properly.
