Job Description

The Office Assistant is responsible for a wide variety of administrative tasks, including but not limited to: scheduling meetings and appointments; answering and directing phone calls; greeting clients, vendors, and other visitors; handling faxes and mail; photocopying; maintaining and ordering office supplies; preparing correspondence, spreadsheets, invoices, and tracking reports and files; and more. In addition, you’ll be responsible for handling all requests for facility/office work, as well as any special projects, mail/package shipping/receiving, Interoffice/Program distributions/communications, and copier/fax machine maintenance.

  • Generates and updates on a regular basis report that need the use of discretion in data selection and presentation, such as those of a technical, statistical, or financial nature (format).
  • Maintain current understanding of the website in order to assist callers with issues.
  • Assist with both internal and external customers in a professional manner via telephone.
  • Answer and route many phone lines, as well as direct callers to the right department.
  • Provides administrative assistance to the property management by handling tasks such as rent collection, answering phones, and mailing out correspondence.
  • Work that goes above and beyond what’s expected, as assigned by a supervisor or management.
  • Maintain a full calendar with regular engagements and complicated travel plans.
  • help upper management out with a wide range of administrative tasks that arise.
  • Keep track of inventory and place orders for office supplies and other relevant items as necessary.
  • Help other departments with troubleshooting and technical questions.


  • Common software packages like Microsoft Office are utilized competently.
  • Understanding of proper English use, spelling, grammar, punctuation, and sentence structure to guarantee that written materials generated and reviewed are thorough, succinct, and structured correctly.
  • the flexibility to adapt one’s approach based on who one is speaking to, as well as the skill to convey complex ideas in a straightforward manner.
  • Ability to work well with others in a group setting.
  • Two to three years of administrative experience are preferred in addition to a bachelor’s degree.
