As a member of the healthcare team, the Medical Secretary helps with a variety of administrative responsibilities in order to keep things running smoothly for patients and staff.

  • It is the responsibility of this position to provide the physician with administrative assistance. It is the responsibility of the employee to prepare all necessary letters, forms, and other documentation. Performs tasks that include entering data into a computer system. Ensures the privacy of extremely sensitive dictation by transcribing it.
  • Responds to all incoming telephone calls and then transfers them to the proper party. Takes intelligible messages for the providers as well as the other office workers. Manages the processing of standard information requests. Ensures that all critical communications are given priority treatment in accordance with the standard operating procedure for the practice.
  • Acquires authorizations for physician practices, which are placed into the registration and billing systems. Recommends that patients get referrals as necessary.
  • Scheduled and registered patients are assisted in exchanging insurance authorization and/or worker’s compensation benefits data by the receptionist.
  • EMR systems are used by the Medical Secretary to check in and out patients, verify demographics, update patient profiles, and collect any unpaid amounts. Setting up appointments for follow-up care and/or specialized care.
  • Meet and greet patients, give them instructions, politely and helpfully answer their questions, and get their signatures on forms like benefit assignment and privacy notice forms.
  • Excellent customer service, phone etiquette, and comprehensive handoff to the relevant team members to aid patients, their families, and the community.
  • Communicates with clinical and support staff regarding patient scheduling changes and needed adjustments and assists the Director with clinical staff schedule management.
  • Face-to-face registration allows for the collection of demographic and financial information that is relevant to appropriate reimbursement and statistical analysis, thereby facilitating an effective and professional registration process. This information is gathered in order to facilitate an efficient and professional registration process.
  • This competency demonstrates a thorough understanding of clinical treatment and teaching, as well as the ability to apply that knowledge to a wide range of health and disease conditions across the life cycle.


  • The same as a high school diploma. A degree in business administration or a healthcare-related area of study, or a comparable education, is preferred.
  • For this job, you need to have worked for two years as a medical secretary or receptionist in a medical office, interacting with doctors, the general public, and/or patients.
  • It’s important to know how to use office machines like the phone, computer, keyboard, copier, fax machine, printer, and credit card machine.
  • Work successfully with patients, families, colleagues, physicians, and auxiliary department employees. Excellent typing and Microsoft Word & Excel skills.
  • Knowledge of administrative aspects of healthcare, such as filling out insurance claims and medical records Excellent ability to use computers; first-rate skills in providing assistance to customers; solid command of the English language, both orally and in writing.
