Our Medical Records Clerk is a trained clerical professional who is responsible for the upkeep of health records. In this role, the employee organizes and maintains an approved record-keeping system.

  • The Medical Record Clerk is responsible for auditing the discharge checklist on a monthly basis and recording the results into a database.
  • Closed files will be purged by the medical record clerk in order to be boxed and stored off-site.
  • Create statistics reports and other management information system needs with assistance from the Medical Records Supervisor.
  • The Medical Record Clerk must also locate and make numbered files, file processed medical records, and make corrections to errors as doctors finish charts.
  • Using specified criteria for paper and electronic scanning, precisely sort and organize loose pages.
  • In addition to adhering to the guiding values and objectives of the Clinic, this person must be self-motivated, organized, and able to multi-task, manage sensitive material, and maintain confidentiality.
  • Must be able to utilize sound judgment outside of a set of standards and apply knowledge to a variety of factual situations.
  • The Medical Records Clerk must be adaptable to the department’s shifting requirements as well as to any other duties he or she may be given by the Medical Record Director.
  • Pick up and distribute charts and loose sheets from all sections of the hospital and/or clinic.


  • A minimum of one year’s experience working as a medical record technician, medical record clerk, unit secretary, or in a comparable capacity where daily duties included processing computerized medical/health records.
  • Having a fundamental understanding of the principles, techniques, and standards for standard electronic medical record administration practices.
  • Competent with Microsoft Office apps (Word, Outlook, PowerPoint, and Excel).
  • Excellent interpersonal abilities and the capacity to function in a changing work environment.
  • The capacity to spot informational discrepancies and address them appropriately.
