Job Description

Our Front Desk Receptionist reports to the Office Manager and is responsible for providing a warm welcome to guests and clients and efficiently handling all phone calls. In this position, you’ll need to be well-versed in and compliant with all applicable federal, state, and company regulations. Moreover, you will watch out for any leaks of sensitive information about the business or its clients.

Qualifications:

  • Be well-versed in the protocols for addressing any and all consumer concerns or disagreements.
  • Helps visitors get badges and registered in a secure manner.
  • Keeps relevant documents and files, directories, correspondence, and other connected material. Off-site storage and shred bins are coordinated. Coordination of copy service and repair.
  • Coordinate additional administrative duties, such as those of a department head or executive assistant.
  • Engage in and attend mandatory training events (workshops, seminars, etc.), as well as in-service training and on-the-job training programs.
  • Provides polite and accurate call routing for several departments using a multi-line telephone system. Act in a professional and courteous manner when using the office intercom.
  • Keep an up-to-date file or directory of residents, including names, room numbers, emergency contact numbers, department extensions, key individuals, etc.
  • If someone asks to enter and doesn’t comply with the rules, tell them they can’t.
  • Keep an eye on the state of the office and the tools used there to make sure they are up to par in terms of cleanliness, upkeep, and safety.
  • Provides generic responses to frequently asked topics and directs more specific inquiries, concerns, or sensitive matters to the corporate office manager.

Skills:

  • ability to work under pressure to prioritize and organize multiple projects and produce reports.
  • Able to handle multiple tasks, responsibilities, and/or details at once.
  • Work experience as a Receptionist, Front Office Representative, or a comparable job is required.
  • demonstrated proficiency in managing a calendar and knowledge of setting up appointments.
  • Skills in multitasking, time management, and the capacity to prioritize tasks.
