This entry-level job performs complicated legal clerical work for civil, criminal, traffic, and misdemeanor matters filed in county circuit and/or county courts. The County Clerk manages case data. The County Clerk may collaborate with the Judge.

  • It is necessary to register and add voters to the database, as well as process changes to existing voters’ records. Included in this data are a person’s residence, precinct, and tax code.
  • Callers will be given the option to speak to a person who can answer their questions or direct them to the right person; they will also be recorded for future reference.
  • Input data into different word processing and file-maintenance programs using computerized data entry equipment; keeps relevant files and records in order; scans and copies documents as needed; makes sure files are correct and complete; and so on.
  • liaison between the County Court at Law Judge and his staff and other county departments and agencies for paperwork, information and case status in civil division docket matters.
  • In probate, civil, and family court matters, this job processes e-files into case management software. It also processes case fee payments.
  • Responds to requests and distributes court records, court orders, and other legal documents to court officials, lawyers, journalists, and interested parties.
  • Screens applications for services and decides if they are valid or correct so that certified copies of birth certificates, death certificates, and marriage licenses can be issued. Also screens people who want to get birth and death records to see if they are eligible to do so.
  • Scan all documents that have been recorded, such as birth and death certificates and marriage licenses. Performs verification process and checks captured image for accuracy, completeness, and image quality. After scanning, manually indexes the records.
  • Participate in and attend staff meetings. Provide comments and suggestions to enhance personal work procedures as well as the department’s overall operation, performance, and services.
  • Looks over all signed orders from the judge to see if the County Clerk’s office needs to do anything else, and if so, does so. Sends files to the specified court that have to do with assigned causes of action that are on the day’s docket.


  • This role requires knowledge of Word, Outlook, and Excel, as well as an ability to deliver great customer service.
  • In-depth knowledge of county affairs, the ability to communicate successfully with local government personnel and members of the press, Mathematical fluency in the use of whole numbers, common fractions and decimals in all measurement systems.
  • Specialized business knowledge that may be utilized to establish and execute policies, processes and technology as well as to achieve the City’s business goals.
  • High school diploma or the equivalent, and less than or equal to one year of experience in the field. A combination of education and experience that is enough to do the above essential functions well can be used as a substitute.
  • Advanced understanding of government activities, including state, county, and local election, meeting, ethics, and legal advertising standards.
