Job Description

The Operations Administrator is the person in charge of ensuring that the company’s various back-office technology and operational functions are carried out effectively. This job will collaborate closely with the Director of Operations & Compliance, as well as outside consultants and vendors, in order to successfully implement the technological roadmap, with a primary emphasis on successfully identifying and resolving issues for team members. The Operations Administrator will interact with Wealth Management clients as well as other members of the team in order to deliver an amazing experience for those customers.

Qualifications:

  • Monitor, assist, and coordinate the annual testing and inspections conducted on-site for the elevator and/or fire alarm system.
  • To assess inefficiencies at the property level, pull weekly/monthly reporting metrics.
  • Recognize the necessity of software and the difficulties faced by the onsite crew in respect to new technologies.
  • a comprehension of all of the maintenance policies, as well as an analysis of the effectiveness of those policies.
  • Keep track of preventative maintenance activities and help with quarterly audits and inspections.
  • as a focal point for communication on all project timeframes and activity, assist with project scheduling.
  • Assist in maintaining a database of tool and big mechanical equipment models and warranties.
  • Help keep tabs on and assess the value of typical R&M costs. It’s important to keep tabs on project expenses, verify submitted invoices, and pay suppliers in a timely manner.
  • Work with onsite teams to identify a proper training curriculum and ensure it implemented appropriately.
  • Provide assistance with the maintenance of insurance requirements, papers, and broker needs.

Skills:

  • Applicants must have vendor management experience and familiarity with Nexus or a similar platform.
  • Excel skills are exceptional. Strong functional understanding of Microsoft Office platforms, as well as the capacity to acquire new modules and advance technologies.
  • Knowledge of office technology and information systems, such as word processing, spreadsheets, databases, internet messaging, and video conferencing.
  • 5+ years of successful administrative experience in a time-constrained, project-focused setting.
  • powerful organizational skills, including the capacity for multitasking and time management.
