Job Description
As a Secretary, you will be responsible for providing clerical and administrative assistance in order to improve office workflow practices. By assisting colleagues and executives with information preparation and distribution, you will be of use to them. You’ll be the go-to person for any questions, requests, or problems, and you’ll be an important member of the team.

Qualifications:
- Without permission, make preliminary appointments. Organize your time to attend conferences and compile any necessary background materials. Plan meetings and gather relevant background information as needed. Attend meetings to take notes and write up a report on what happens.
- Examine outgoing papers and communications for internal consistency and compliance with corporate policies and standards, as well as ensuring that necessary permissions and concurrences have been acquired.
- Telephone enquiries should get consistent replies, and visitors should be directed to the proper staff members. Send correspondence on time, track mail arrival, and distribute forms.
- Ensure that general office equipment (copiers, printers, fax machines, multi-functional devices, etc.) is properly maintained and supplied with the necessary supplies.
- Collect information from files or staff in order to respond to routine enquiries about office programs or monthly reports. Educating staff on the organization’s office processes, coordinating their efforts, and processing administrative paperwork.
- Assemble materials for conference calls and meetings with your team, including agendas, letters, and phone calls.
- Choose relevant information from a variety of sources, such as reports, documents, letters, or other offices, to generate one-of-a-kind or one-time reports, summaries, or replies to inquiries.
- Work with other departments in the business to establish whether requests should be handled by the right person or office, as well as to screen telephone calls, visits, and incoming letters.
- A company’s secretary should monitor personnel attendance, equipment inventory, communication records, and employee development initiatives.
- Subordinate offices’ administrative personnel should be informed of any new administrative procedures, and information from the subordinate offices should be asked for periodic or special conferences, reports and inquiries in addition to accommodating the administrative load.
Skills:
- A secretary must be able to establish and maintain solid working relationships with colleagues, departments, and the general public.
- The ability to effectively communicate orally and in writing, as well as knowledge of Microsoft Office, particularly Excel and Word, is essential.
- A computer, student information system, district finance system or some other kind of automatic system is required to enter and/or retrieve data, which is an essential ability for this position.
- Working with little supervision, I’m adept at prioritizing several tasks and finishing them accurately.
- An undergraduate degree, a high school diploma, and the ability to write are all required for this position.
