The operations coordinator not only handles a variety of administrative duties, but also serves as a key point of contact for the firm or organization. A highly motivated, detail-oriented, trustworthy, multitasking, problem-solving, and initiative-taking individual is needed for this role. You’ll have direct reports in the owner and the vice president of the company, and you’ll work closely with a diverse group of office and field staff. You will need to be able to operate well under pressure and in a fast-paced environment, where quick decisions will be necessary.

  • Manage event funds and state budget in coordination with state organizers and logistics team; report event and budget outcomes to state administration and national headquarters. Verify that monthly expenditures are in line with business commitments by comparing actual to planned expenditures.
  • Organize the scheduling and follow-up of service appointments in accordance with established protocols, record client and employee complaints and incidents, investigate as needed and refer them to the office administrator for follow-up and resolution, and process the necessary paperwork for billing and payroll in accordance with deadlines.
  • The Research Vendor Manager’s duties will include, but not be limited to, evaluating the current state of the management environment for research vendors, serving as the organization’s official representative, monitoring the effectiveness and productivity of current vendors, and vetting prospective new suppliers.
  • Compare monthly expenditure between actual and budgeted spending to make sure that spending complies with organizational commitments; communicate results to state administrators and national headquarters; collaborate with the logistics team and state organizers to manage event budgets and state budgets.
  • Operates enterprise resource planning system product conversions. Maintains item characteristics in the ERP system, supports daily supply operations and distribution to ensure there are no hiccups, and ensures stock expiry is kept to a minimum by following stock rotation best practices.
  • Offering direction and assistance to employees to guarantee timely and accurate processing of transactions. To do this, we utilize our extensive knowledge of policies and procedures to efficiently handle difficult transactions and obstacles. It is also expected that employees in this position would actively participate in team sales suggestions, campaigns, and excellent customer service.
  • You will oversee the team’s knowledge management systems and resources and are responsible for managing contracts, purchase orders, budgets, and monthly accruals at a research organization.
  • In charge of coordinating the whole research publication process, including working with stakeholders, ensuring policies and procedures are followed, acquiring required clearances, creating a publication road map, and managing the research publication team’s workload.
  • Quickly and precisely complete tasks; communicate effectively with a wide range of constituents; compile complete and accurate leave paperwork; and coordinate the flow of work for several, simultaneous leaves.
  • Both new and old referral sources need to be kept informed so that service problems may be solved and the company can go forward in accordance with its plan. Methods include, but are not limited to, requests for employee records such as those detailing wages, hours worked, employment status, disability and workers’ compensation benefits, paid time off, jury duty pay, and other similar things.


  • Superior ability in both written and spoken communication. Having the capacity to convey your thoughts in a style that is easy to understand but also showing empathy for your audience is crucial for establishing rapport and solving difficulties. You have remarkable empathy, interpersonal intuition, and active listening skills; you are fluent in written, verbal, and electronic forms of communication; and you can write and deliver messages on product specialists’ behalf.
  • Possesses strong organizational, computing, and listening skills; is skilled with the MS Office suite of applications, with a focus on Excel, and is at ease utilizing technology; Strong interpersonal skills with a sense of urgency; outstanding oral and written communication abilities; capability to communicate with all levels of workers and business partners.
  • A professional is recognized by their proficiency in a variety of tasks, focus on detail, and ability to perform well under pressure. The ability to work successfully with people under pressure is crucial. Works well with people and can quickly transition between groups to provide or accept help.
  • In addition to managing finances and processing pertinent financial commitments, this person may also be in charge of managing research operations, serving as a functional and/or technical expert on teams, and making recommendations for the tactical implementation of initiatives and/or functional operations goals.
  • Responsible for communicating and coordinating with peers and key stakeholders to achieve goals; delivering progress updates and discussion of issues/concerns in oral and written/presentation formats; demonstrating interest in learning from related roles and teams.
