Job Description

We are looking to hire a Finance Assistant right away. In this role, the Finance Assistant will be given extensive exposure to a variety of tasks and possibilities. The Company’s mission will serve as the inspiration for their efforts to improve the CFO’s and Finance team’s efficiency. The Finance Assistant will have access to highly confidential information about the organization, hence confidentiality is of the utmost importance. The ideal candidate will be able to efficiently sort through incoming service requests for the CFO and Finance team, keep tabs on their status, respond immediately, and help complete the feedback loop so that Finance can provide outstanding service to both internal and external clients. The Finance Assistant will quickly learn to anticipate and respond to the team’s most common requests for data. The ideal candidate will have an exceptional portfolio showcasing their work in a variety of roles, preparing them to take on a wide range of responsibilities. Prior experience working in a fast-paced team environment or providing administrative support to upper management is highly desirable.

Qualifications:

  • Act as the primary point of contact for the financial team and anticipate the needs of the administration and IT departments.
  • Controlling the CFO’s and Finance team’s workflow and priorities requires forward planning and vigilant monitoring of the schedule, which involves managing calendars, contact lists, phone calls, and emails.
  • dealing with and verifying the legitimacy of purchase invoices prior to payment.
  • Resolve issues with suppliers and reconcile supplier accounts within the system.
  • maintaining a credit system, monitoring payments, and checking in on cash flow.
  • Prioritize messages, meetings, CFO tasks, and incoming papers from principals and others.
  • Processing and balancing balance sheet accounts, including prepayments, at the end of each month.
  • Prepare itineraries, make and follow up on internal requests, and organize group get-togethers.
  • Making sure that new vendor accounts in the system have the right information when they are created.
  • Get ready for important meetings ahead of time, whether they’re with internal or external stakeholders. If necessary, physically show up to meetings and follow up with the right people thereafter.

Skills:

  • You have a systematized, organized, and productive way of functioning. Whether working alone or in a team, you are able to consistently provide excellent service while paying close attention to the smallest of details.
  • You will need to be extremely IT literate, have strong Excel skills, and possess a broad range of Microsoft Office skills due to the nature of the firm. Knowing about Netsuite is a plus.
  • You have 1–2 years of experience managing efficient administrative and financial systems, preferably in a technical setting.
  • Formal qualifications are not as important as a strong work ethic and attitude. You don’t have to have a degree, but you should at least have A-levels in business- and/or numerate-related areas and be educated to college level.
  • You are eager, focused, ready, and able to pick things up quickly so that you may gradually improve your skill set and yourself.
