Job Description
We are searching for an organized secretary who is capable of doing administrative chores as well as greeting visitors and customers at the office. The Secretary is in charge of fielding telephone calls, replying to emails, and organizing meetings. You must be able to multitask in order to succeed as a Secretary. A successful secretary has exceptional interpersonal skills in addition to administrative knowledge.

Qualifications:
- Screen phone calls, visitors, and incoming mail; personally react to requests for information about office operations; and assess whether requests should be handled by the appropriate organizational representative or other offices.
- When a guest calls, he or she should be referred to the proper staff member. Keep track of mail delivery and distribute forms by sending letters on time.
- Outgoing papers and communications should be examined for internal coherence and conformance to business rules and procedures before they are sent out.
- It’s important to choose relevant content from a wide range of sources to create one-of-a-kind or one-time summaries or responses to questions.
- Assemble the documents required by employees for conferences, letters, appointments, meetings, and phone calls, and notify representatives of the organization of issues to be examined.
- Monitor employee attendance, equipment inventories, communication logs, and learning plans on a regular basis.
- To react to normal inquiries about office programs or monthly reports, compile data from files or personnel. The organization’s office operations, employee collaboration, and administrative paperwork processing are all explained.
- Arrange for a few introductory appointments before proceeding. Make conference attendance arrangements and gather any relevant background documents in advance of your visit. Assist with the organization of meetings and the compiling of pertinent background material. Capable of attending meetings and recording or reporting on activities that occur.
- Maintenance and replenishment of general office equipment (copiers and printers, fax machines, multipurpose devices, etc.) is a continuous process.
- Any new administrative procedures should be conveyed to the administrative staff of the subordinate offices, and information from the subordinate offices should be asked for periodic or special conferences, reports, and inquiries, as well as to alleviate the administrative load.
Skills:
- Enable the use of automated systems such as a computer to input and/or retrieve information.
- It is essential for secretaries to be proficient in Excel and Word in addition to excellent verbal and written communication abilities.
- High school diploma/GED; two (2) years of college or business school or similar job experience desirable; and writing skills
- A secretary must be able to establish and maintain solid working relationships with colleagues, departments, and the general public.
- Managing and prioritizing several projects successfully while completing tasks on time and within budget with little or no supervision.
