Job Description
Working closely with the Director and Chief of Staff, the Executive Secretary oversees a full-time meeting schedule. Administrative concerns requiring sensitive and private information; readiness to conduct activities connected to emergency activation; willingness to reschedule one’s work schedule to accommodate departmental demands; and performing related duties as needed are among the responsibilities of this role.

Qualifications:
- To aid in the design and continuing maintenance of organization-wide tools and activities that support the organization’s overall goals, you will provide a broad range of strategic, programmatic, and tactical assistance.
- In addition to helping with event scheduling, keep track of any necessary plans, papers, documentation, and progress reports.
- Attend meetings and take notes, or be informed on them shortly after they conclude so that you are aware of any new developments affecting the Deputy Superintendent and Superintendent Office.
- Write and edit emails, prepare memoranda and other correspondence on behalf of the SVP, as well as help the SVP in other administrative duties.
- Assist assigned associate/assistant vice presidents and directors with sophisticated, diverse, and confidential administrative and secretarial assistance. A wide range of responsibilities, such as managing the executive assistant’s schedule, attending meetings or committee events, as well as communicating with other stakeholders and attending meetings, will be assigned depending on the organization’s specific requirements and objectives.

Skills:
- In-depth understanding of office technology, including Microsoft products, virtual platforms, and room AV systems; a strong willingness to learn and master new technologies as they become available.
- In-depth understanding of director or executive office administrative and coordinating activities.
