The Senior Administrative Assistant answers phones, greets customers, and does administrative tasks. This person will prepare, evaluate, proof, brand, format, foot and tie client deliverables for Assurance and Consulting engagements.

Qualifications:

  • Assist in the processing of student and part-time work papers, as well as professional service agreements. Submit travel reimbursements and disbursement requests on time. Budgets for administrative units, restricted accounts, and award/scholarship funds should all be kept track of. Payment orders and invoices should be submitted.
  • Provides daily casework, monthly reporting, office supplies, postage metering, merchant card reconciliation, invoicing and A/R, and database administration to the Admin Support Supervisor.
  • Make it easier for existing and prospective students to locate campus resources and advisors. Become familiar with program procedures and standards, such as checklists and program criteria, in order to provide basic student counseling. Process student papers from all levels of study.
  • Manages and keeps an eye on the department director’s schedule, schedules and coordinates meetings, makes travel plans and fills out paperwork for travel reimbursement, and coordinates and schedules department meeting calendars.
  • The Physical Plant Supervisor Specialist uses this information to keep track of personnel coverage in the department and reroutes work orders as necessary.
  • Make sure you’re up to date with your email and list serves. Newsletters and official communications are within your purview. Control bulletin boards for departments and programs, as well as other aspects of campus advertising and marketing. Take a look at the department’s social media accounts. Responsible for the department and program websites, delivering a well-planned, up-to-date site.

  • Inquiries about the department’s activities and events should be handled by the department staff. Serve customers promptly. Do your best to keep your department’s resources well-stocked. Work-study and student assistants must be supervised to guarantee task completion and enough office coverage.
  • Responding to all incoming scheduling requests, prioritizing the most critical and sensitive topics or meetings, connecting with all parties, and ensuring that meetings are set up for success are all part of calendar management in a fast-paced workplace with many competing priorities.
  • Follows up on people who ask about the status of work orders they’ve placed, as well as the fulfillment and timeliness of those orders. The Physical Plant Supervisor Specialist is notified of any delays in the fulfillment of work orders or productivity challenges.

Skills:

  • The manager of the department is in charge of verifying the accuracy of all office documents.
  • To be considered for this position, you must have a two-year associate’s degree and at least five years of administrative support experience, or an equivalent combination of education and experience, from a recognized institution or university.
  • Microsoft Office Suite (Outlook, Word, Excel, and PowerPoint) competency is essential for this position; a minimum of three years of experience is necessary. It’s all about specifications, specifications, and more specifications. A familiarity with Microsoft Teams is a bonus.
