We are looking for an Executive Administrative Assistant who can serve as the go-to person for any Organization-related questions from both internal and external stakeholders. The ideal candidate for the position of Executive Administrative Assistant will be a self-starter who thrives in a fast-paced, high-stakes environment focused on purpose, outcomes, and community involvement. The Executive Administrative Assistant will be responsible for a wide range of administrative tasks, including the handling of sensitive information, and will have the autonomy to see projects through from inception to completion.

  • Help with initial beginning order of supplies, office and kitchen equipment selection, and utilities service for new offices.
  • Promptly submits claims for company expenses and follows up, as needed, to ensure prompt payment.
  • Perform analytical and query work, as well as data-based report compilation.
  • A calendar for managing reacts to requests, schedules meetings, and ensures that schedules are accurate and current. Reschedules are handled to accommodate more urgent demands with a shorter turnaround time, and scheduling issues are fixed. Informs management of impending deadlines and appointments.
  • Ensure that all offices’ shipping, mailing machine, and shredding contracts are up to date.
  • Take the helm in managing the corporate travel program and help arrange travel for a chosen number of workers. Don’t forget to express your thoughts regarding the company’s travel policies.
  • Order office supplies and meals for Executive, office, and training meetings.
  • As needed, offer Executives with administrative help and general office support through a variety of clerical operations and related tasks.
  • Supervise and approve office supply orders for all locations. Choose standard office supplies and negotiate pricing with suppliers to drive towards annual cost savings goals.
  • Meetings are planned, information is gathered, and distributed. She can also reserve equipment, meeting rooms, and visitor cards as needed. Greeting visitors and leading attendees and candidates to meetings. Perhaps distributing follow-up materials.


  • Consistently displays the ability to assess the privacy and confidentiality concerns of others and respond appropriately.
  • Must be able to work flexible hours and shifts based on business needs.
  • Possessing One to three years’ experience in an administrative role, with an emphasis on basic office management skills.
  • A bachelor’s degree or appropriate work experience is preferred for the post of executive administrative assistant.
  • Acts on their own initiative by bringing problems to the attention of supervisors and other stakeholders.
