You’ll be in charge of organizing, coordinating, and carrying out corporate events in this position. Managing contracts and vendors, as well as the event’s preparation and execution in general, will fall to you, as will email correspondence before and after the event, and post-event metrics and reporting.

  • Provide a cost summary that covers all meeting cost savings and the final invoice using a standard form. This template calculates the cost of holding a meeting.
  • Take part in the planning of an event by a committee and keep a timeline that everyone can see, along with suggestions for plans that affect the meeting’s goals, setup, and execution.
  • Choose meeting room layouts based on audience and meeting objectives, and provide choices to stakeholders.
  • Supervise and manage online meeting registration to guarantee efficient data input, badge and meeting list deliverables, and contacts with participants, staff, and speakers.
  • Offers day-of event assistance. Attend event to assist employees and volunteers, assist with registration and check-out, assist with setting up and breaking down equipment and supplies, etc.
  • Use a consistent checklist of meeting needs, choices and space price during site inspections to evaluate and pick meeting locations. Keep meeting goals in mind when presenting options for final decision to stakeholders with complete justification.
  • Consider considerations such as pricing, space, meeting objectives, and availability for the meeting dates that have been selected while searching for a location for the event.
  • Responsible for developing, producing, proofreading, and revising the content and structure of all event materials, including invitations, RSVPs, brochures, posters, letters, programs, certificates, and name tags.
  • Negotiate contracts with a list of cost-cutting factors and complete understanding of contract wording in order to improve meetings while safeguarding corporate responsibility.
  • Maintains order records to ensure proper accounting. Order event-related goods such as awards, pamphlets, supplies, promotional items, and incentives.


  • Skilled in the Microsoft Office Suite, with a proven ability to pick up new programs and platforms with relative ease, Experience with Smartsheet, Constant Contact, and Microsoft Excel, each at an intermediate level or above, for a minimum of one year.
  • Accuracy under pressure while maintaining one’s calm and putting the satisfaction of one’s customers or clients ahead of one’s own needs is a must.
  • Familiar with hotels, meeting centers, AV professionals, and catering businesses Strong time management, organizational, and multitasking abilities.
  • Knowledge in event logistics, marketing, catering, and presentation. Written, oral, and research skills.
  • Degree from a recognized college or university in one of the following: marketing, public relations, communications, or a closely related discipline. Planning events in a corporate environment requires at least three years of expertise.
