Job Description

The Operations Administrator is in charge of carrying out all back-office technology and operational tasks for the company. With a focus on successfully recognizing and addressing issues for team members, this job will collaborate closely with the Director of Operations & Compliance, outside consultants, and vendors to implement the technological plan. To create a remarkable experience for Wealth Management clients, the Operations Administrator will interact with team members and clients.

Qualifications:

  • Help maintain a record of and assess the value of routine R&M costs. Stay on top of project expenses, verify submitted invoices, and pay suppliers promptly.
  • An understanding of all maintenance policies and an evaluation of their efficacy.
  • Information from weekly and monthly reports can be used to assess property-wide inefficiencies.
  • assist with maintaining insurance requirements, paperwork, and broker obligations.
  • Watch over, schedule, and help with the annual testing and inspections of elevators and/or fire systems on-site.
  • Recognize software requirements and challenges faced by the onsite team in relation to new technologies.
  • Assist in logging new equipment model and warranty information, from small tools to major mechanicals.
  • Work with onsite teams to develop a proper training curriculum and ensure that it is properly implemented.
  • Maintain record for preventative maintenance efforts and assist with quarterly audits and inspections.
  • Assist in project scheduling and serve as a focal point for communication on all project timeframes and activity.

Skills:

  • Competent administrator with 5+ years’ experience working in a fast-paced, project-based setting.
  • Experience with vendor management on Nexus or a comparable platform is necessary.
  • Excel prowess. Strong functional knowledge of Microsoft Office platforms, as well as the ability to acquire new modules and advance technology, among other things.
  • Solid organizational skills, such as being able to do more than one thing at once and keeping track of time.
  • Capability with a variety of office technologies and information systems, such as databases, internet communications, word processing, spreadsheets, and video conferencing.
