Job Description

This is an entry-level employment that entails a broad range of difficult legal clerical activities connected to civil, criminal, traffic, and/or misdemeanor matters filed with the County circuit and/or county courts. The County Clerk is in charge of case data coordination and management. The County Clerk may be appointed to work with the Judge in the courtroom.

  • Responds to queries and distributes court records, court orders, and other legal documents to relevant court officials, lawyers, the media, and interested parties about the rules and processes of the County courts.
  • In civil and family law, probate, and family law, a case management system is used to put documents into an e-filing system. In this role, this person is also responsible for processing payments for case fees.
  • Analyzes all orders signed by the Judge to see whether the County Clerk’s office needs to take any additional action and completes that activity. Routs papers pertaining to assigned causes of action to the designated court on the day’s docket
  • Performs a verification procedure and examines the acquired image for correctness, completeness, and image quality; scans all recorded papers, including birth and death certificates, as well as marriage licenses; manually indexes the records once the scanning process has been completed.
  • Maintains relevant files and records, scans and copies documents as needed, and checks to make sure that files are full and correct using computerized data entry equipment and a variety of word processing and file management applications.
  • Attend staff meetings and take part in them. Give feedback and suggestions on how to improve your own work processes and how the department works, performs, and the services it offers.
  • Answers phone, greets guests, directs calls, records messages, and answers to emails and faxes as needed.
  • In order to verify the authenticity or correctness of an application to offer certified copies of birth and death certificates and marriage licenses, the services are checked.
  • In civil division docket matters, liaison between the County Court at Law Judge, his staff, and other county offices and agencies for paperwork, information, and case status.
  • It is necessary to register and add voters to the database, as well as process changes to existing voters’ records. Included in this data are a person’s residence, precinct, and tax code.


  • State, county and municipal regulations related to the conduct of elections, public meetings, ethical standards and permissible advertising requirements for both state and local administrations.
  • High school diploma or equivalent, up to 1 year relevant experience. An equivalent combination of education and experience may be used.
  • Specialized business knowledge that may be utilized to establish and execute policies, processes and technology as well as to achieve the City’s business goals.
  • Skill with Microsoft Office products (Word, Outlook, and Excel) and other office software needed to run the department. Skill with giving good customer service.
  • must be able to effectively interact with county authorities, media, employees, and the general public, to Ability to do fundamental arithmetic operations on whole numbers, common fractions, and decimals in all measurement units.
