Job Description

An Operations Administrator will report to the Director of Finance and Operations and work across the affiliate to ensure that all teams have the resources they need to achieve their goals. This includes providing administrative support to the Executive Director and Board of Directors, keeping the office space neat and well-stocked for all employees, and overseeing office personnel.

Qualifications:

  • Supervise, plan, and help with annual on-site elevator and/or fire testing and inspections.
  • Work with onsite teams to develop and administer a training curriculum.
  • Recognize the software requirements and onsite team challenges associated with the new technology.
  • Assist in assessing inefficiencies on a property level by pulling data from weekly/monthly reports.
  • assist with maintaining insurance requirements, paperwork, and broker obligations.
  • A grasp of all maintenance policies, as well as an assessment of their effectiveness.
  • assist in monitoring and evaluating standard R&M costs. Track the costs of your projects, check your invoices before paying them, and promptly approve and handle vendor payments.
  • From small tools to massive mechanicals, assist in recording new equipment model and warranty information.
  • Maintain record for preventative maintenance efforts and assist with quarterly audits and inspections.
  • as a focal point for communication on all project timeframes and activity, assist with project scheduling.

Skills:

  • fantastic Excel abilities. a solid working understanding of the Microsoft Office platforms, the capacity to learn new modules and the latest in technological advancements, and more.
  • It is necessary to have prior vendor management expertise working with Nexus or a comparable platform.
  • at least five years of successful administrative experience in a fast-paced, project-based environment.
  • strong organizational skills, including the ability to multitask and manage your time.
  • possessing expertise in office software and technology, including databases, internet communication, word processing, spreadsheets, and video conferencing.
