Qualifications:

  • You should open and close client accounts, add trading and power of attorney as needed, link life insurance and annuity accounts, complete client registrations, and reply to and fulfill client support requests in a timely manner.
  • Trades in equities and fixed-income instruments are recorded in the books via trading-to-accounting software.
  • Investment opportunities, due diligence, and investment memorandums for fund investments and co-investments should be found and provided to deal teams.
  • As directed by the firm’s advisor, create and manage client files, compile client forms and reports, and initiate correspondence.
  • Review any electronic correspondence, give your response, and deal with any issues or complaints as soon as possible.
  • Regular shredding is an important step in ensuring the security of sensitive client data and preventing the spread of identity theft.
  • Manage the upkeep of all shared office equipment to ensure its appropriate functioning for the practice, and communicate any problems to the facilities manager. Keep the office well stocked with basics like paper towels and coffee so that employees never go without.
  • Front desk support, such as greeting customers and visitors to the office, answering the phone with a friendly tone and taking detailed messages, are all part of your responsibilities.
  • Keep all client data up-to-date in your contact management system and database for optimal marketing, scheduling, reporting, and billing.
  • Establish and manage client files in accordance with legal and regulatory standards, and produce reports and databases for file and record-keeping purposes.

Skills:

  • Demonstrated ability in customer service or client management. This would include identifying client problems/issues, providing and initiating effective resolutions.
  • A bachelor’s degree is preferred, although work experience and college credits earned will also be considered.
  • Possessing one to two years of relevant work experience in finance or a closely connected discipline such as billing, accounting, purchasing, mathematics, etc.
  • Ability to work independently and efficiently under time pressure in a fast-paced environment.
