Job Description

To manage the workplace, we’re looking for a bubbly, vivacious Office Administrator. You will assist with daily office operations and administrative chores and serve as the point of contact for any office maintenance and administrative requirements.

Qualifications:

  • Oversee the running of the office as a whole, including the activities of secretaries, administrative assistants, and conference room workers (mail, document reproduction and hospitality)
  • carries out a broad range of clerical, administrative, record-keeping, bookkeeping, file-reviewing, and support tasks.
  • Helps people who have questions about the department’s offerings and is periodically tasked with suggesting an action plan to upper management.
  • Plan and carry out routine employee gatherings and office activities, such as client and business development events and charitable endeavors.
  • Maintaining office services entails regulating communications, arranging file systems, reviewing and approving supply requests, assigning and monitoring clerical tasks, and so on.
  • Maintain office security protocol and ensure office meets proper business continuity obligations of the firm.
  • Manages employees and their activities, such as scheduling, timekeeping, and performance reviews.
  • Various clerical tasks are completed, including but not limited to: composing letters and reports, processing paperwork, answering questions, referring clients, and scheduling meetings.
  • Participant in administrative operations team (projects and initiatives) that improves the quality of service provided to the company’s internal and external customers.
  • maintain the building’s upkeep, operate as a liaison between tenants and regional property management, and coordinate efforts between tenants and other key building personnel.

Skills:

  • A calm composure in the face of competing demands and short deadlines.
  • Capability to juggle multiple priorities and work in a high-pressure, precise setting.
  • Proven expertise at the top level in management, communication, and organization.
  • Familiarity with the Microsoft Office suite (Outlook, Word, Excel, and PowerPoint) and the ability to quickly pick up and use new software
  • a bachelor’s degree and at least seven years of managerial experience in a mid-sized or larger professional services organization
