The Assistant Bookkeeper is in charge of giving the Foundation’s Development, Volunteer Services, and Health Auxiliary administrative assistance. The work entails basic accounting and record-keeping activities for the Foundation in addition to administrative tasks such processing invoices, managing registration for special events, and drafting thank-you notes. The capacity to make autonomous judgments, a strong commitment to confidentiality, and great interpersonal skills are all necessary for contacts with donors, patients, and volunteers on a regular basis. Participates in departmental performance improvement initiatives and oversees daily infection prevention and control operations.

  • Ensure on-time, consistent payment of all client invoices by putting them into your accounting software.
  • As instructed by the account manager, prepare a cash receipt and disbursement report. Support for customers in repaying their medical insurance claims Attend team meetings often to stay up to date on your clients’ demands.
  • Provides reception and secretarial support to the department. Ensures that all incoming phone calls are handled promptly and professionally, including returning missed calls as soon as possible and answering any questions that may have arisen.
  • Incorporates financial transactions into the company’s daily records by keeping track of them and recording any critical data that may be overlooked. In conjunction with the Controller, aid in the procurement of materials for all three corporate entities via meticulous data entry utilizing QuickBooks software. Job Description There must be a system in place for tracking, documenting, and preserving purchases.
  • As needed, transfer phone calls to the appropriate staff member. Begin making contact with consumers and visitors. You may use Microsoft Office to create and modify documents. Create and manage a hard copy and computerized record-keeping system.
  • Keep track of gift transactions and income transfers each week, then reconcile with the finance department. Check and money market account balances are maintained, reports are generated, and financial information is tracked.
  • Check daily for actionable things in mail, email, and other communications, such as checks, bills, notifications, etc., and notify the account manager as soon as possible.
  • Plans the setup, meals, and meeting spaces for the Foundation Board of Trustees, Auxiliary, and Development Council Committees.
  • Developing purchase orders, handling invoicing, and monitoring spending. Tracks every dollar spent and received during special events.
  • Preventing data loss by ensuring that all relevant documents are stored in the right locations and renaming those when necessary Adding names on checks or doing business by hand Transparency in communicating with the rest of the team.


  • As this role involves a wide variety of duties and expands with the team’s development, the candidate must be very versatile.
  • Expertise in the use of Microsoft Word is necessary, especially in the area of mail merge operations; Must be able to use Microsoft Excel at the beginning level. Applicants must be fluent in English, both spoken and written. The capacity to multi-task, as well as strong organizational and interpersonal abilities, is shown. Exceptional public speaking talents.
  • Accounting foundations, such as the recording of credits and debits, are vital. Knowledge and skills may be used to a wide range of careers.
