Job Description

With the help of the Executive Director, the Finance Assistant is responsible for carrying out and refining the Party’s annual fundraising strategy. The State Party Chairman is assisted by a team consisting of the Finance Assistant, the Executive Director, and themselves. The Finance Assistant assists in recruiting guests for the Annual Dinner by contacting potential table captains and following up with guests who have received invitations in the mail. The Finance Assistant’s responsibilities for this event will include both volunteer coordination and recruitment. The Finance Assistant’s top priority in the weeks preceding up to the dinner is to enlist exceptional volunteers to help with the planning and execution of the event.

Qualifications:

  • Resolve supplier questions and reconcile supplier accounts within the system.
  • Prioritize receiving materials and information from principals and others, as well as outgoing communications and CFO activities.
  • Get everything ready for upcoming conferences. Take part in face-to-face meetings as needed and communicate with the relevant people on the meeting’s outcomes.
  • processing and checking that purchase invoices are legitimate for payment.
  • Serve as a point of contact for the administration, technology, and finance departments and foresee demands on the part of the finance team.
  • Monitoring cash flow, following up on delinquent invoices, and controlling debt are all part of credit management.
  • Making new, complete supplier accounts in the system.
  • reconciliation of all prepayment and other accounts on the balance sheet at the end of each month and related action.
  • Controlling the CFO’s and Finance team’s workflow and priorities requires forward planning and vigilant monitoring of the schedule, which involves managing calendars, contact lists, phone calls, and emails.
  • Make trip plans, submit and follow up on internal requests, and plan events for the group and meetings.

Skills:

  • You have between one and two years of experience managing administrative and financial processes successfully, preferably in a technological setting.
  • You have a strong work ethic, can multitask effectively, and are open to new information and experiences.
  • A positive work ethic and attitude are more important than academic credentials. You don’t need a degree, but you should have some college education and at least several A’s in math and/or business.
  • You will need to be extremely IT literate, have strong Excel skills, and possess a broad range of Microsoft Office skills due to the nature of the firm. Knowing about Netsuite is a plus.
  • You have a systematized, organized, and productive way of functioning. Whether working alone or in a team, you are able to consistently provide excellent service while paying close attention to the smallest of details.
